Inventory count sheet: free printable PDF and Excel
An inventory count sheet is the page a counter writes on while walking the shelves: one line per item, one box for the quantity counted. Use the blank PDF below to print and write on, or the Excel sample if you would rather type counts and let the sheet work out the difference.
Free: count sheet to print or fill in
Blank stock count sheet (PDF, A4) to print and write on, and the sample count sheet with variance (.xlsx) to fill in on a computer. Free, no email asked.
What an inventory count sheet needs
- Item name and SKU or code, so two people describe the same thing the same way.
- Location (shelf, bin, room), so each area is counted once and nothing is missed.
- Counted quantity. For a blind count leave the system quantity off the printed sheet, so counters do not copy it.
- Counter's initials, date and time, and a notes box for damaged or unlabelled stock.
- Optional: system quantity and unit cost, filled in after the count to get the difference and its value.
How to run the count
- Freeze movements if you can: no receiving or shipping while a section is counted, or write down what moved.
- Count one location at a time, in the same order on every sheet.
- Recount any line whose difference is large before you change the system quantity.
- Keep the signed sheets; an accountant or auditor may ask for them at year end.
PDF or spreadsheet?
Print the PDF for warehouses and stockrooms where nobody carries a laptop. Use the Excel sample when the counts are typed in afterwards: it shows counted minus system quantity and the value of each difference, and works in Google Sheets too. The kit below is for shops that keep a stock list in a spreadsheet or a Shopify store; it is not needed for a one-off count on paper.
Not on Shopify?
The sheets and the kit work for any business with a list of items and quantities. The kit's import tab reads any CSV with SKU, Title, Location and On hand columns, so a stock export from another system pastes in as it is.
