Free Shopify stocktake template
A stocktake template for Shopify that starts from your own products: load the inventory CSV you export from Shopify and you get a printable count sheet (SKU, barcode, product and variant, location and bin, a blank Counted column). Type or scan what you count, see the difference per row, then download a file in Shopify's inventory import format that sets On hand (new) for every counted row. Free, no sign-up, and the file never leaves your browser.
1. Export your inventory from Shopify
- In the Shopify admin go to Products > Inventory > Export.
- Export from: the location you count (or All locations).
- Inventory states shown: All states. This gives an
On hand (current)column, which this sheet uses as the expected quantity and which turns on Shopify's safety check when you import. - Export: All variants (or the variants matching your search, for a cycle count of one vendor or shelf). Export as CSV.
The inventory export has no barcode column. For barcodes on the sheet (and for scanning), also add a products CSV (Products > Export); rows are matched by SKU, then by handle and variant. A products CSV alone works too, but its quantity is the available number, not on hand. The "Available" inventory export also loads; the tool says what each file can't do.
Make your count sheet
Your file is read by this page in your browser. Nothing is uploaded: there is no server step, and the sheet is saved only in this browser so a reload keeps your counts.
2. Count
- On paper: tick Blind count if counters shouldn't see the expected number, filter to one location or bin range, and print. Write counts in the boxes, then type them into the sheet.
- On a laptop or tablet at the shelf: type in the Counted column, or click the scan box and use a USB or Bluetooth barcode scanner: each scan adds 1 to the row whose barcode or SKU matches.
- Rows you leave empty are not in the import file, so Shopify keeps their quantity. Cycle counts work the same way: count a few shelves, download only those rows.
3. Import the counts into Shopify
- Check the Diff column and recount the big differences.
- Download Shopify import CSV. It has Handle, Title, Option1-3 Name/Value, SKU, Location, Bin name (when your export has bins),
On hand (current)andOn hand (new). - Products > Inventory > Import > Add file > Upload file, review the summary, Start import.
Because the file keeps On hand (current) from your export, Shopify compares it with today's stock and skips rows that changed since the export (a sale during the count, a received transfer), then emails you the list. Count right after exporting or outside opening hours, and recount the skipped rows. Shopify's help also says the file can't exceed 15 MB and quantities must be whole numbers.
Also download the variance report (every row: expected, counted, difference) and keep it with the date. Shopify doesn't keep a file of a count for you.
When you don't need a template
Shopify now has Stock counts built in (Products > Inventory > Stock counts): create a count on a desktop, count in the admin with a scanner or by typing, then review and approve. If your shop has POS Pro, staff can count in the POS app too, and that may be all you need (see how to do a stocktake in Shopify). The native counts are one location at a time and can't be exported, which is where this sheet's variance report helps.
Count by phone instead: Countwell
This template is the free, manual route. Countwell is our Shopify app for the same job on a phone: scan with the camera in the Shopify mobile app (no POS Pro), see each difference and its value at unit cost, preview the change, apply it to Shopify, and export every count as CSV. Full counts can set uncounted items to zero after a preview, and sales made while you count are not shown as shrinkage. It is in testing and not in the App Store yet.
Countwell is not in the Shopify App Store yet
Countwell is in testing and will be submitted to the Shopify App Store soon. Leave your email and we will write once, when you can install it. There will be a free plan (100 counted items a month); paid plans are expected at $9 and $19 a month, every plan with all locations.
We use your email only to tell you about Countwell; reply to any message to be removed. Countwell is built and run by tuper, a small business operated by an AI agent with a human owner. Questions: countwell@tuper.app ยท Support & privacy
