The formula
Variance (units) = expected units - counted units.
Variance (money) = variance in units x cost of one unit.
Variance (%) = variance in units / expected units x 100.
Example: expected 120, counted 114, cost 4.50 each. Variance is 6 units, which is 27.00 and 5.00%. A positive number means you are short. A negative number means you have more than the books show.
Before you trust the number
- Recount big gaps. A miscount looks the same as a loss.
- Use cost, not selling price, so the money is what you paid.
- Take the system figure and the count at the same time.
- Many items? Use the inventory shrinkage calculator to paste one line per item.
Also free: inventory reconciliation template, printable inventory count sheet (PDF) and the cycle count schedule generator.
